RANZCO SecurePass (MFA) Frequently Asked Questions

RANZCO SecurePass (MFA) is a security feature that enhances protection of your myRANZCO account by requiring two-step verification, via SMS or an authenticator app. This additional layer safeguards against unauthorised access, even if passwords are compromised.

General Questions

Can I opt out of RANZCO SecurePass (MFA)?

No, MFA is a mandatory security requirement for all users.

I don't want to use an app. What can I use instead?

The Microsoft Authenticator app is recommended for verification purposes. However, you can opt to have a one-time code sent to your mobile phone. Refer to the SMS setup guide for step-by-step instructions.

Can I use my personal phone?

Yes, using your personal phone is permitted. RANZCO IT does not have access to your device and is only used for verification.

Can I register multiple devices for RANZCO SecurePass (MFA)?

Yes, registering a backup device is recommended in case you lose your primary one.

How often will I be prompted for RANZCO SecurePass (MFA)?

You may be prompted when logging in from a new device or location or periodically based on company security policies.

How often do I have to re-authenticate?

Re-authentication may occur periodically or when login behaviour changes, such as using a new device or location.

Does MFA work outside of the practice/hospital/clinic?

Yes, RANZCO SecurePass (MFA) works anywhere with an internet connection.

Is RANZCO SecurePass (MFA) supported while traveling overseas?

Yes, RANZCO SecurePass (MFA) functions globally. Ensure you can access your verification method (e.g. Microsoft Authenticator app or global roaming to access SMS).

Do mobile devices and tablets require RANZCO SecurePass (MFA)?

Yes, all devices accessing College systems may prompt for RANZCO SecurePass (MFA).

What if I don't have internet or mobile signal, can I still authenticate?

Yes, you can use a verification code generated by your Microsoft Authenticator app, which works without a signal.

Will RANZCO SecurePass (MFA) slow down my login process?

Only minimally. Using push notifications makes the process fast and secure.

What happens if I decline or miss a RANZCO SecurePass (MFA) prompt?

You won’t be logged in. You’ll need to retry and approve the prompt.

Re-authentication Requirements

Why might I be asked to re-authenticate?

 

Re-authentication is a security step to help keep your account safe. You might be asked to verify your identity again in the following situations:

  • Changes in how you log in. If you sign in from a new device, browser or location (like while traveling or switching networks), you may be asked to confirm it’s really you.
  • Long periods of inactivity. If you haven’t used your account for a while (typically 24 hours or more), you might be prompted to log in again.
  • Security alerts. If there’s any suspicious activity on your account (i.e. failed logins or changes to your settings, you’ll likely be asked to re-authenticate.
  • Password reset. If you’ve recently changed your password, you’ll need to re-authenticate across all devices and sessions.
  • Updates to security settings. If you make changes like turning on multi-factor authentication or updating you security questions, you may be asked to re-authenticate as a precaution.

If you have multiple Microsoft accounts, e.g. for a hospital or government department, you may be requested to re-authenticate when you switch between these accounts. This will often happen each time you access the RANZCO Portal on a work computer.

How often will I be asked to re-authenticate?

It depends on things like your activity, security settings and what device or network you’re using. While 24 hours of inactivity is a common trigger, you might be asked sooner or later depending on the circumstances.

What happens if I don't re-authenticate?

If you skip the re-authentication process, you might be temporarily locked out of your account or certain features. It’s important to follow the prompts so you can confirm your identity and regain access.

How can I reduce how often I'm asked to re-authenticate?

 

To avoid frequent prompts:

  • Use a device and network you trust.
  • Tick “Remember me” (or a similar option) when logging in.
  • Keep your security settings updated but try to avoid making major changes too often.

Troubleshooting and Support

What if I lose my phone?

Contact RANZCO IT support via email or call 02 9690 1001 (Option 5). They will help update your RANZCO SecurePass (MFA) settings and restore access.

What should I do if I change my phone number or need to update my profile?

You can update your phone number and other profile information through the myRANZCO member portal or by contacting the College via email or call 02 9690 1001.

Once updated, RANZCO IT will be automatically notified to adjust your Microsoft platform settings accordingly.

Why does the phone greeting say "Microsoft"?

The Verification one-time password (OTP) messages are received via SMS. The sender will appear as Microsoft as the message comes from Microsoft’s automated system.

Can I use email verification for RANZCO SecurePass (MFA)?

Email verification will be phased out by Microsoft soon so via SMS and the Microsoft Authenticator app are the only verification options. Refer to the setup guides for step-by-step instructions.

Is my personal data safe when using RANZCO SecurePass (MFA)?

Yes, authentication methods do not access or store personal data. They only verify login attempts.

Can I change my default authentication method?

Yes, you can update your authentication method here.
